Who we are:

Muslim Aid is a British, faith-based international development organisation that provides support to communities around the world affected by disasters, conflict or endemic poverty without regard to their social, religious, or ethnic background.

What you’ll be doing:

The Executive Assistant to the CEO will oversee the smooth running of the CEO office, develop and deliver a comprehensive organisational, administrative and management support service.

The role will also support the good functioning of the Board of Trustees in all related matters and be an excellent communicator, managing the Board cycle and be familiar with working at a Project Management level (PMO). 

The main responsibilities of this role will be to: 

  1. Provide general administrative services including diary management, booking meetings, planning events, organising travel and preparing travel itineraries.
  2. Review proposals and reports (both financial and narrative) submitted to the CEO and Trustees to ensure these meet our due diligence policy and follow good practice.
  3. Develop and maintain effective communication and liaison with high-end donors, Parliamentarians, Diplomats, VIPs, Government officials, Executives of partner organisations and with all Muslim Aid Departments/Country Offices.
  4. Assist the CEO with the preparation of presentations, speeches and projects.
  5. To coordinate relevant Trustee meetings including notifying members, preparation of agenda and board papers, minute-taking and hospitality.

Who we are looking for: 

You will be an exceptional Executive Assistant, with experience of working in the charity sector, preferably INGO. You will have experience of working with Boards of Trustees, minute-taking at a high level and preparing Board reports. You will have First class organisational skills, the ability to prioritise work, balance conflicting priorities, monitor progress and exercise judgement about chasing progress. You will work well under pressure and changing priorities and be able and willing to work outside of office hours occasionally when required.
