Summary of Role

This is a permanent role, 4 days a week, job share. 

The Executive Assistant will develop and deliver a comprehensive organisational, administrative and management support service to the CEO.  The role will oversee the smooth running of the CEO office and support in the preparation of all meetings, visitors and tasks as directed.  The Executive Assistant will also support the good functioning of the Board of Trustees in all related matters and be an excellent communicator, managing the Board cycle and be familiar with working at a Project Management level (PMO).

About the Role

Duties to the CEO and Board of Trustees:

  1. Provide general administrative services including diary management, booking meetings, planning events, organising travel and preparing travel itineraries.
  2. Prioritise the CEO’s paper and electronic correspondence and, where required, to draft responses on behalf of the CEO.
  3. Facilitate the planning of routine meetings for the CEO (Monthly, Quarterly) and attend all meetings to take minutes and follow up on action points.
  4. To coordinate relevant Trustee meetings including notifying members, preparation of agenda and board papers, minute-taking and hospitality.
  5. Develop, maintain and review an effective system to fully brief and prepare the CEO ahead of meetings/events.
  6. To ensure that administration systems are developed, maintained and reviewed to achieve maximum efficiency for the Board.

About You

To be successful in this role you will need:

  1. To be educated to bachelor’s degree level.
  2. Substantial experience providing high-level support in a PA, EA, or Secretarial role, including diary management and complex meeting coordination. 
  3. Ability to balance conflicting priorities, monitor progress, and exercise judgment about chasing progress as necessary. 
  4. Highest level of professionalism, discretion, and diplomacy in dealing with confidential information, sensitive issues, or high-profile contacts. 
  5. Excellent written and interpersonal communication skills, including the ability to liaise effectively with people at various levels. 
  6. Strong proficiency in Microsoft Office suite, including Word, PowerPoint, Excel, and Outlook, and ability to quickly learn and use new software adopted by Muslim Aid.
